1. Data Controller
Volunteerly ApS, CVR no. 45475719, is the data controller for the processing of personal data collected via the platform volunteerly.dk and any individual platforms derived from it, where users create accounts to find and register for volunteer events.
In connection with your use of the platform, including participation in events organised by partners such as municipalities, Volunteerly ApS and the relevant organiser are joint data controllers for the processing of your personal data.
For processing related to the platform’s functions and administration, Volunteerly ApS is the sole data controller.
2. Types of Information we Process
When you create a profile and use the platform, we collect and process the following categories of information:
- Name, email, phone number, date of birth, zip code, profile picture, t-shirt size, dietary preference, and your encrypted password.
- Information you provide about interests and availability
- Event registrations
- Data about attendance
- Technical usage data (login data, IP address, browser, device type)
- Communication via the platform
We do not ask you to share sensitive information such as health data, religion, or political beliefs. Please avoid entering such information in free text fields.
3. Purpose and Legal Basis for Processing
When you use Volunteerly, we need some of your information to provide the platform’s functions. Here’s what we use it for – and why it is lawful:
We use your information to:
- Create and manage your user profile
- Show you events that match your interests
- Send you information about your registrations and any changes
- To assess wheter you can handle the task that you have requested (human assessment)
- Comply with legal requirements – such as safety, logging, or documentation
We are allowed to process your data because:
- It is necessary for you to use the platform and participate in events
- We have a legitimate interest in improving and protecting our platform
- In some cases, we are legally obliged to do so (e.g., to ensure operations)
In certain situations, we will also ask for your consent – for example, if you wish to receive newsletters from Volunteerly or any of your affiliated event organisers. You can always refuse or withdraw your consent.
4. Use of Profiling and Automation
We use information you have provided – such as interests and previous events – to show you events that are relevant to you.
- This happens automatically, but it does not have a significant impact on you – for example, you will not be excluded or evaluated.
- We do not make decisions based solely on automated systems.
4A. Processing Based on Consent
Some types of processing only occur if you give your explicit consent. This applies to:
- Sending newsletters and updates about volunteer opportunities from Volunteerly and your associated organisations
- Sending push notifications as a supplement to communication via e-mail or SMS.
You can withdraw your consent at any time via your profile settings or by sending an email to info@volunteerly.dk. This will not affect the lawfulness of any processing that took place before you withdrew consent.
5. Sharing of Information
When you register for an event via the platform, your information is shared with the relevant organiser, such as a municipality or an association. There will always be a joint data controller agreement between Volunteerly and the organiser.
This means that both Volunteerly and the organiser are jointly responsible for protecting your data and ensuring that your rights as a data subject are upheld. During the registration process, you will be informed about the organiser and have access to their privacy policy.
We use trusted data processors for the operation and maintenance of the platform. They act solely on our instructions and are bound by data processing agreements (cf. Article 28 GDPR).
We use “Google reCAPTCHA” to protect the forms on our website (not in our product/platform) from misuse. reCAPTCHA analyses the user’s behaviour (e.g., IP address, mouse movements, and keystrokes) to determine whether the interaction is from a human or an automated bot. The processing is carried out to protect our website. Data collected by Google is processed in accordance with Google’s Privacy Policy and Terms of Service, which can be read here:
6. Storage and Deletion
We store your information for as long as your profile is active. If inactive, your account and associated data will be deleted after 24 months. Information about specific event registrations is anonymised when a profile is deleted.
7. Your Rights
You have the right to:
- Access the data we process about you
- Correct inaccurate data
- Delete data (“the right to be forgotten”)
- Restrict or object to certain processing activities
- Data portability for processing based on consent or contract
In cases of joint data controllership, you can contact either Volunteerly ApS or the organiser with questions about your data. We have agreed on procedures for handling such requests and will assist each other to ensure you receive a reply within the statutory time limit.

8. Changes
This privacy policy is updated regularly, and can be changed with 14 days notice. You will be notified of any changes via the platform or email. Continuous use of the platform after the change has taken effect, means that you accept the new policy.
9. Right to lodge a complaint
If you believe that our processing of your personal data is in violation of data protection legislation, you have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet):
